This policy explains what information Cold Trailer Playbook collects, why, and the choices you have. Cold Trailer Playbook is run by [OWNER LEGAL NAME] ("we", "us"), who is responsible for your information. Questions: help@coldtrailerplaybook.com.
What we collect
You give us:
- Your email address, and your name if you add it or sign in with Google.
- The numbers you enter in the calculator (daily rate, trailer price and so on).
- What you save in the guide: progress, lists in Step 1, quick-check answers, checklists.
- Messages you send through the contact form, and refund requests.
- Questions you ask the guide assistant.
Collected automatically:
- Which guide pages you've opened and when. We use this to save your place and to apply the refund policy.
- Basic technical data, such as your IP address and browser, in server logs and for security limits (for example, how many sign-in emails can be requested).
- If you agree to analytics cookies: how pages are used (clicks, scrolling), through Microsoft Clarity.
From others:
- If you sign in with Google: your Google account ID, email address and name.
- From Polar, our payment provider: confirmation that you paid, the amount, and the order ID. We never see or store your card details.
Why we use it
- To run your account and the guide: sign-in, saving progress, unlocking what you bought.
- To send emails you need: sign-in links, purchase and refund confirmations, replies to your messages.
- To send occasional tips and reminders about the guide (for example, when your new-student price is about to end). You can turn these off at any time with the unsubscribe link or on your account page.
- To answer your questions in the guide assistant.
- To keep the Service secure and working, and to understand how it's used so we can improve it.
- To keep records we're required to keep, such as purchase records.
If you're in the EU or UK, our legal bases are: providing the service you asked for (contract), our legitimate interests in running and improving it securely, your consent (analytics cookies, and tips emails where required), and legal obligations.
Who we share it with
We don't sell your personal information or share it for advertising. We use these service providers to run the Service, and they only use your information to provide their service to us:
| Provider | What for |
|---|---|
| DigitalOcean | Hosting the website and database (United States) |
| Polar | Payments, taxes and receipts (merchant of record) |
| "Continue with Google" sign-in, if you use it | |
| [EMAIL SENDING PROVIDER] | Delivering emails from the site |
| Zoho | Our support mailbox |
| Anthropic | Answering guide assistant questions |
| Microsoft Clarity | Usage analytics, only if you agree to analytics cookies |
We may also share information if the law requires it, or to protect our rights or someone's safety.
Cookies
- Essential: a sign-in cookie that keeps you signed in, and a short-lived cookie during Google sign-in. These are needed for the Service to work.
- Analytics (optional): Microsoft Clarity cookies, used only after you agree. Visitors in the EU and UK are asked first.
How long we keep it
- Your account and saved work: until you delete your account.
- Sign-in links: they expire after 15 minutes and are deleted over time.
- Purchase records: as long as tax and accounting laws require (usually up to 7 years), even if you delete your account. Personal details are removed from them where possible.
- Contact messages: up to 2 years, unless they're part of an open request.
Your choices and rights
- See or update your information: on your account page, or by asking us.
- Delete your account: on your account page. This removes your account, progress and saved work right away (purchase records are kept as described above).
- Stop tips and reminders: use the unsubscribe link in any of those emails, or the switch on your account page.
- Get a copy of your data: email us and we'll send it within 30 days.
Depending on where you live (for example the EU, UK or California), you may have more rights, such as objecting to some uses or asking us to restrict them. You can also complain to your local data protection authority. We'll never treat you differently for using your rights.
International transfers
We're based in the United States and our providers mostly store data in the United States. If you're outside the US, your information is transferred there. Where the law requires, we rely on safeguards such as the providers' standard contractual clauses.
Children
The Service isn't meant for children under 16, and we don't knowingly collect their information.
Security
We use HTTPS, sign-in links that work once, secure cookies and limited access to our systems. No system is perfectly secure, so please keep your email account safe.
Changes
If we change this policy in a significant way, we'll post the update here and email account holders.
